Before an audit

How to export your data.

An audit runs on one export from your accounting or ERP system. You do not need to give us a login, and you do not need to tidy anything up first — messy is what we are here for. This page tells you exactly which report to run, and the one setting worth checking before you do.

Read this first

Neither Xero nor QuickBooks includes an expected-delivery-date column in its standard purchase-order report. That single field is what makes “which orders are overdue?” answerable. Without it an audit can still tell you plenty — but on that particular question the honest answer becomes cannot assess, and we would rather you knew that before you export than after.

Xero offers PDF, Excel and Google Sheets for this report — there is no CSV option. Excel is the one to send.

Worth doing first

Switch on a delivery-date column before you export. Due Date, Planned Date and Created Date are all turned off by default, and without one of them nobody can tell you which purchase orders are actually overdue.

  • The purchase-order number appears as a heading above each group of rows rather than as its own column. That is normal for this report — leave it as it is.
  • Dates may arrive as plain numbers like 46214 rather than dates. That is an Excel quirk, not a mistake on your part. Send it anyway.

Excel, PDF and CSV are all offered. CSV is the cleanest of the three for this report.

Worth doing first

This report covers open purchase orders only, so it carries no status column. If you also want closed or cancelled orders looked at, say so and we will ask for a second export.

  • Transaction date is the date the purchase order was raised, not the date the goods were promised. If you track a promised date anywhere, mention where — it is the single most useful field you have.

Using MYOB, an ERP, or a spreadsheet?

All of those are fine. The two guides above exist because those are the exports we have tested against directly — we would rather give you instructions we have verified than a generic list that sends you looking for a menu that is not there. For anything else, email us what system you are on and we will tell you which report to pull.

If you cannot find the report at all, send a screenshot of the screen you are stuck on. That is usually faster than either of us describing menus in words.
